What records must condos maintain?

The CAO Guide to Condo Records provides a complete list of:

  • All records listed in the Condo Act and its regulations
  • Types of records – core vs. non-core

What is the difference between core and non-core records?

Core records: Easier to access, have shorter responses timelines and usually come with few or no fees. Non-core records: Take longer to process and may involve additional costs.

 

Who can request condo records?

Only condo unit owners, mortgagees and purchasers can request records. Tenants looking to request records should speak with their landlord.

 

How can I request a record?

You must use the mandatory Request for Records form to submit your request. Records requests can be sent to your condo corporation by:

  • Mail
  • Courier
  • Placing it in their mailbox
  • By email or fax, if your condo corporation allows this

How long does my condo corporation have to respond to my request for records?

Condo corporations must use the mandatory Boards Response to Request for Records form to respond to requests for records within 30 days, regardless of the type of record requested.

 

What fees can a corporation charge for core records?

Fees depend on the method requested by the owner:

  • Electronic copy: No fee, even if the corporation only has paper records
  • Paper copy: Max 20¢ per page for printing or photocopying
  • In-person examination: Reasonable labour fees may apply during the examination, plus up to 20¢ per page for printing or photocopying.
