Purpose of Position

Reporting to the Chief Financial & Operating Officer the Junior / Intermediate Project Manager will support the Project Manager regarding the coordination and integration of business operations. This includes translating strategic priorities into project plans, identifying key deliverables in collaboration with business areas, and ensuring the effective and efficient delivery of CAO’s various services and cross-departmental projects. The Junior / Intermediate Project Manager will be responsible for small scale projects and support the execution of scrum ceremonies.

Key Responsibilities

  • Supports the current Project Manager and Senior management team to deliver on priority business initiatives and projects related to the CAO’s mandated services.
  • Responsible for connecting with all business units to gather project updates and provide project team with latest statuses.
  • Responsible for drafting minutes of project meetings, maintaining project plans, project documentation and close-out / initiation activities.
  • Supports the Project Manager in integrating the work of project teams by developing project plans and project documentation that identify deliverables, key milestones and dependencies across multiple functions.
  • Supports the Project Manager in tracking of progress against project commitments, identifying areas for attention and/or potential issues by proactively identifying and evaluating risks to ensure project delivery as well as coordinating with business partners to develop and implement preventative mitigation controls.
  • Supports the Project Manager in maintaining the annual portfolio of projects ensuring appropriate timing of projects against resource availability and deadlines.
  • Supports the Project Manager in maintaining corporate plans and reference documents, for example, business continuity plans.
  • Facilitates Scrum ceremonies such as Daily Stand-ups, Planning, Review and Retrospective sessions as well as backlog grooming sessions.
  • Schedules project meetings ensuring up to date communication regarding meeting details, timeframes and objectives.
  • Supports efforts to ensure all documentation for system changes is current, accurate and centrally stored.
  • Coordinates materials and resources as required.
  • Other duties as requested.

Qualifications, Skills and Knowledge 

  • University degree or diploma in a related field or an equivalent combination of education and experience.
  • Minimum 2+ years working in a business or project coordination capacity supporting leadership teams in program and project delivery.
  • Exposure or experience using Agile Planning Tools (JIRA, Confluence, Kanban Boards, DevOps) is considered an asset.
  • Excellent computer skills with working knowledge of MS Office and MS Project or a similar product knowledge of office equipment.
  • Excellent oral and written communication skills with excellent interpersonal skills.
  • Proven experience in project coordination.
  • Ability to work strategically and focus on the longer term.
  • Demonstrated ability to effectively and diplomatically handle a range of inquiries from internal and external contacts, while maintaining strict confidentiality.
  • High level of discretion, political acuity and ability to handle sensitive information.
  • Demonstrated time management skills.
  • Ability to work individually as well as part working as part of a team.
  • Ability to prioritize and manage conflicting demands.
  • CAPM designation and IT systems development methodologies are considered an asset

  • Hybrid Environment – 3 days in the office.
